  • 🔍 Why QR Codes?

    QR codes offer a fast, contactless way for attendees to join your events. By simply scanning a code with their phone camera, participants can:

    • Access your portal
    • Join a room (automatically routed to its current session)
    • Open a specific session

    This is especially effective in physical venues where you can display codes on screens, posters, or printed materials.


    🧭 Generating QR Codes

    InterScribe automatically creates QR codes for three main types of links:

    • 🌐 Portal QR Code Links to your main branded portal (e.g., https://yourportal.scrb.live). Ideal for posters, announcements, or digital signage.

    • 🏠 Room QR Code Each room has a permanent code that always links to the current session in that room. Perfect for posting near entrances or on room signs.

    • 📅 Session QR Code Each session has its own unique QR code. Use these for personalized invites, registration emails, or printed bulletins.


    🔓 How to Access QR Codes

    1. Portal QR Code Go to Portal. You’ll find your portal’s QR code next to the URL. Click Download to save the image.

    2. Room QR Code Navigate to Rooms, select the desired room, and find the QR Code button. Download or print as needed.

    3. Session QR Code In your session’s Details, open Share Options. You’ll see the session-specific QR code.

      • For private sessions: the code includes the access code so users don’t need to enter it manually.

    🏗️ Best Practices for Displaying QR Codes

    • 🖼️ Display Prominently Place QR codes at room entrances, on presentation slides, digital signs, or printed handouts.

    • 📝 Add Instructions Include brief labels like “Scan to join live captions” or “Choose your language” to guide participants.

    • 🌍 Label in Multiple Languages Add multilingual captions or signage if your audience includes non-English speakers.

    • 📏 Test Print Sizes Ensure QR codes are printed at least 3cm x 3cm and can be scanned from a reasonable distance.

    • 🔄 Keep Them Updated If a session is deleted and recreated, its QR code will change. Reprint the updated version if needed.


    ❓ FAQs

    🔹 What if someone’s phone can’t scan the QR code? Provide a short URL backup (e.g., https://yourportal.scrb.io/). Most modern smartphones have native QR scanners, but some users may need a link.

    🔹 Do QR codes work without internet? Users can scan them offline, but they’ll need internet access to load the destination. Offer guest Wi‑Fi whenever possible.

    🔹 Can I customize the appearance of QR codes? You can style the area around the QR code, but do not alter the pattern itself — distorted or recolored codes may not scan reliably.
